Facilities Coordinator Jobs Vacancy in Oracle India Ltd Noida Jobs Details:

Job Summary

Should possess good communication skills – both local language and English.

a. Housekeeping

1. Day to Day Facility upkeep and Maintenance
2. Coordinating for Carpet & Chair shampooing, Pest Control, Painting activity, etc.,
3. Coordinating and Monitoring Attendance Tracker for housekeeping staff as per REFORM
4. To prepare duty Roster and assign tasks / deployment sheet on daily basis
5. To maintain rejected list and blacklisted Housekeeping staff
6. To coordinate with store keeper to ensure all Housekeeping related chemicals and consumables are available at all times.
7. Follow REFORM document for daily operation
8. Coordinate with the Building Management team in rectifying snags related to builder scope
9. Monitoring periodic service related issues with respect to Projectors, MFD’s, Cleaning equipment, Coffee vending machines, Gym and other office equipment’s.
10. Preparing day-to-day pantry, housekeeping and water consumption tracker.
11. Coordinating for All Hands and other meeting related arrangements.
12. Preparing PPT/Weekend activity reports.
13. Identifying building/facility related snags (along with Facilities specialist) and follow up for closure.
14. Maintaining BGV /Compliance document of HK Staff
15. Organizing Monthly vendor meet with stakeholder
16. To monitor minor repairs and ensure timely closure
17. To ensure all weekend and monthly activity related to M&E are closed and status report shared with stakeholder in following business hrs.
18. To Assist and monitor 52 week PPM calendar (Activity to be a part of Technical coordinator)
19. To ensure all SR’s related to Housekeeping are closed within stipulated time.
20. Any other facility related activity identified by FS/FM.
21. Cafeteria and Pantry Inventory Management

Please note – Facilities which operate 24/7, Facility Coordinator (Night shift) will manage Cafeteria, Housekeeping and all other facility related operations.
Facilities which operate from multitenanted building and during general business hrs, the Facility Coordinator will manage Cafeteria, and all other facilities related operations.

b. Invoice processing
Should possess a valid Bachelor’s Degree or equivalent with 2-3 years relevant experience in the field
Preferably Computer Literate
Should possess good communication skills – both local language and English.

1. Update invoice tracker and coordinating with FS/FM for processing the invoices.
2. Assist in preparation of MMR Report
3. Follow up for NDC from Vendor.
4. Maintaining Service reports pertaining to office equipment’s and other facility related equipment’s.
5. Maintaining PO Tracker
6. Any other facility related activity identified by FS/FM.

c. Cafeteria Operations

Should possess a valid Bachelor’s Degree or equivalent with 2-3 years relevant experience in the field
Preferably Computer Literate
Should possess good communication skills – both local language and English.

 Cafeteria Vendor Management
– Coordinating with cafeteria vendor for day-to-day activities.
– Carry out food quality check/Food tasting on Day To Day basis
– Ensuring availability of required food stock at Cafeteria by all vendors.
– Ensuring Menu / rates are matching as per the agreement
– Managing day to day housekeeping activities at Cafeteria.( Cleaning )
– Handling food waste.
– Maintaining day to day cafeteria record check list,
– Maintaining BGV /Compliance document of cafeteria vendors
– Coordinating with Pest control vendor on weekends
– Coordinating with food testing Supplier on monthly basis.
– Arranging the meeting with Cafeteria vendors as and when required.
– Arranging the Food committee meeting as per schedule and maintain records and MOM
– Coordinating with cafeteria vendor for Deep cleaning activities for Kitchen and counter areas
– Any other facility related activity identified by FS/FM.

d. Events Operation

Should possess a valid Bachelor’s Degree or equivalent with 2-3 years relevant experience in the field
Preferably Hospitality Background
Should possess good communication skills – both local language and English.

 Event Management
– Coordinating with fun at work group for event activities scheduled.
– Coordinating with Employees for scheduled conference, Lunch meeting etc.
– Carry out requirement check on event to event basis
– Ensuring availability of required standard stationery and pantry item, VC in the facility.
– Ensuring directory of vendors are mapped with market trend.
– Coordinating with HK team for day to day housekeeping activities at meeting and VC rooms.( Cleaning )
– Handling VC and Meeting room.
– Maintaining day to day event record check list,
– Coordinating with Pest control vendor for major events
– Arranging the Breakfast/ Lunch / Dinner meeting with Cafeteria vendors as and when required.
– Any other facility related activity identified by FS/FM.
