We are looking for a contractual resource to provide support Facilities Management team at assigned Facilities.
Ensure facility management through the internal outsourced support & Responsible for building and equipment maintenance programs including plumbing, Electrical, HVAC, building automation systems, fire/life safety systems, and data center infrastructure.
Asset move management, maintenance and repairs of various assets, utilities monitoring, building upkeep
Manage Operations & Maintenance in the building , Responsible for all buildings R & M , Drive energy conservation, efficiency & maintenance cost. Monitoring AMC, SLAs, agreements etc. keeping track on operational expense ( AOP, Non AOP, Opex & Capex).
Driving the outsourced facility management vendors.
Routinely inspects work area for EHS hazards and identifies improvement opportunities. Coordinates hazardous/regulated waste disposal, pollution prevention, and waste minimization programs Oversee the maintenance of office property ensure timely competition of renovation work , wherever required.
Motivate, lead, coach and monitor the performance levels of all team members ensuring the delivery of excellent service by maintaining high staff morale and team spirit.
Ensure that all facilities are maintained in sound condition to ensure a safe and efficient work environment for personnel and guests.
Coordination with agencies
Facilities Service Desk Management
Supervise repairs , maintenance & replacement of office equipments , appliances , furniture & fixtures etc. facilitate asset management & tagging of all assets across multiples locations
Ensure optimum space allocation for workstations effective utilization of space and resources for new building or re-organizing current premises.
Vendor management of housekeeping, transportation, courier ,cab records, airline, hotels
Tracking of Warranty / AMC expiry dates of various installations across various offices
Prepare periodic reports & MIS
Coordinate with Service Providers, Suppliers to ensure quality of Services
Tracking, Verification and timely processing of vendor bills to ensure continuity of Services
Provide necessary assistance/ guidance to Procurement Team for procurement of Material or Service.
Periodic meetings with various Vendors/ Services providers for review of quality of services
Achieves financial objective by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances
Contract management i.e. preparing documents to put tenders for contractors
Liaising with government authorities , licenses department , local police authorities etc. for smooth and seamless compliance with required statutory and legal requirement across all locations
Possess knowledge of legal documentation, drafting & vetting compliance and diligence issues
Cost Savings & Control
Implement & monitor Energy Savings initiatives at Infinity Mumbai location.
Keeping track of the expenses on month on month basis
Bring in new cost savings and cost control initiatives
Highlight any major deviations to the seniors for timely action
Ensure compliance with health and safety standards and industry codes
Travel and Transport Management
Ensuring smooth operation of the Transportation provided to employees, involved in the procurement process, catering to transportation for Employees for internal travel, overlooking the Air travel & hotel accommodation process & manage any escalations (if any
Responsible for Travel Booking, Visa arrangements for International travel for all employees in India
Responsible for Travel Booking and stay arrangements for employee on official visit to the corporate office
Responsible for co-ordination and facilitation to expats on stay, internal travel and other logistics arrangement
Security & Housekeeping Management
Responsible for the security maintenance in the corporate office
Responsible for coordinating with outsourced vendor for recruiting the manpower for security of the corporate office
Responsible for the health, safety and environmental measures adopted at the corporate office
basis pertaining to Admin Vendors.
Provide management advice to Helpdesk operators for escalated issues
Ensure planning and execution of all preparation required for Conferences / meetings of the client as well as VIP visits
scheduled during the shift
Oversee the Mailroom process.
Provide management advice to Helpdesk operators for escalated issues
Oversee the Front Office function
Ensure visitors are promptly attended by the Front Office Executives (FOE)
Fire & safety Management
Manage facilities and physical security incidents and crises as they occur. Coordinate response to enterprise facilities incidents by facilitating communications, assisting with the business recovery process, and organizing root cause analysis and corrective actions
- With min 6-8 years of Facility and Administration experience.
- Must have a commanding personality, with very good oral and written communication skills.
- Ability and confidence to communicate with all levels within the hierarchy, across departments
- Maturity and interpersonal / soft skills to manage the relationship with customers and other departments in a smooth and conflict free manner.
- Effective team coordination of direct and vendor staff for efficient service delivery
